Agentic Email Triage
Many business processes depend on email. Each message can bring a new request, an update to an existing case, or an issue that needs a specialist. Knowing what to do next means reading the thread, checking attachments, and connecting the message to the work already underway.
Provectus builds AI solutions that turn incoming email into a clear next step: identify the request, match it to the right case, and route it to the right team with the context they need to act.
The shift
Less time sorting email. More time handling requests.
A request can span several threads and a large set of attachments. Our solutions bring the context together, identify what needs attention, and route it to the right team. Experts handle uncertain matches and decisions that need their judgment.
Built for sorting
Classifying, matching, and prioritizing is the work agents do best. Scripts run the deterministic checks beside them.
Volume and context
They keep long threads and large sets of attachments in view at once, and they miss no detail in them.
Rules, applied every time
Your urgency, routing, and approval rules are applied consistently, on every request.
Adjustable
Rules, thresholds, and routing change without a rebuild, as your process changes.
The process
Most of the work is deciding what the email is.
The agent reads the thread and pulls the facts out of it, and only then can it say what the email is. Acting on it is the short part, and nothing reaches your system until the checks pass. The three workflows below run on the same steps, and only the words change. Pick one, then a scenario, to see the route it takes.
Past the scan, the agent reads the thread and the attachments side by side. The facts say what the email is and which deal it belongs to. Your rules set the priority and the owner, and the CRM changes only after the checks pass.
The business case
Shorter waits for customers, more capacity for experts.
We agree each measure with you before the pilot, then compare it with your current process.
- 01
Faster turnaround.
Preparation starts when an in-scope email arrives, not when someone reaches it in the queue. Where you permit it, requests for missing documents go out without waiting for a person.
Measured by Time from email arrival to a correct system update.
- 02
Fewer requests lost in an inbox.
Each in-scope message is linked to a tracked case with an owner and a status. Replies continue the same case. You can see where work waits and why it needs a person.
Measured by Queue age, missed service levels, and duplicate records.
- 03
Less manual work per case.
Experts receive prepared cases and spend their time on exceptions and decisions. Routine preparation can run automatically as correspondence grows.
Measured by Manual touches and review time per case.
- 04
Fewer entry errors, less rework.
Each value is checked against its source document before it is saved. Conflicts and gaps are held for a person.
Measured by Corrections after review and rework per case.
The controls
Your environment, your rules.
Built for teams whose correspondence must stay within a boundary they control. Each build starts from your process and reuses what your current platforms already cover.
01 · Perimeter
Inside your perimeter
Agents, model inference, document parsing, and logs run within infrastructure you approve. A managed model service is used only if you approve it inside that boundary.
02 · Personal mail
Discarded, never stored
Personal mail is discarded at the scan. It is not read, not matched, not extracted, and not stored, so it never mixes with your business data. Business mail stays in your mailbox and your systems of record. The automation works on it and keeps no copy.
03 · Audit
Evidence for your auditors
Each action is recorded with its rule version, any approver, and a reference to the source. We map these controls to your requirements with your security and compliance owners.
04 · Rules
Your rules and approvals
You choose the mailboxes, records, and actions each agent can reach. You choose the steps that wait for a named approver. Permissions are enforced outside the model, so text inside an email cannot change them.
05 · Systems
Your records and systems
Deals, cases, orders, or requests, each with the fields it needs. Approved email sources connect to your CRM, case management, ERP, or document store, with scoped permissions.
06 · Quality
Your quality bar
Matching, extraction, and proposed actions are tested against examples you approve before release.
Prepared work can appear in your existing system or in an Expert Workspace that brings the case, evidence, and review queue together. We start with one workflow, as a focused engagement within our Legacy Modernization program.
The questions
What security and operations ask first.
Why tailor a workflow when email automation already exists?
Existing products may already cover part of your workflow, and we reuse them where they fit. A tailored build is useful where your business rules, legacy integrations, or processing boundaries need a specific implementation.
Do the AI agents run within our perimeter?
We deploy the agents within your approved infrastructure. The boundary covers model inference, document processing, temporary storage, and logs as well as the application. A managed model service is used only if you include it in that boundary before deployment.
What about personal messages in an employee's mailbox?
Personal mail is discarded at the scan. It is not read, not matched, not extracted, and not stored, so it never mixes with your business data. Only the classification is recorded, never the content. Intake starts from a dedicated business mailbox, an approved folder, or messages the employee selects. Your exclusion rules narrow it further. We test the filter with you on approved examples before rollout.
Can an agent send a message or change a record automatically?
Only where your workflow permits it. A missing-document request can use an approved template; other replies can remain drafts. Record changes are checked against required fields, the current state, and allowed transitions. Ambiguous matches and decisions that need professional judgment go to an authorized expert.
How does this support our compliance requirements?
Your security and compliance owners define the requirements. We map access permissions, processing locations, approval gates, audit evidence, and retention controls to them. We validate before rollout. Compliance depends on the complete deployment and operating process, including any approved service providers.
